Security Scotland Ltd is a Scottish events and venue security company delivering professional stewarding, safety, and SG-SIA services across high-profile sites and live events. Working with major clients including Mitie Security Limited at locations such as Network Rail Glasgow Central Station, the company operates within a highly regulated environment where staff compliance, shift accuracy, and real-time coordination are operational requirements. As the business scaled, the limitations of spreadsheets and disconnected tools became a hard ceiling on growth.

02 The Challenge
Security Scotland needed a centralised system capable of managing complex multi-site shift patterns, tracking staff certifications with legal expiry deadlines, and storing sensitive employment documents securely — all within a framework that met GDPR obligations and supported role-based access for different staff tiers. The initial scope called for a full custom web application, but following a practical assessment of timelines and resource constraints, the project pivoted to FileMaker Web Direct: a decision that delivered equivalent functionality faster and within budget, without compromising on depth or capability.
03 Our Approach
We designed and built a comprehensive, modular platform from the ground up — built specifically for security staff scheduling across concurrent events and sites — spanning 14 core modules and 137+ layouts, deployed via FileMaker Web Direct with cloud document storage on AWS. The system was architected around the daily realities of security operations: week-based schedule views, bulk shift actions, conflict detection for overlapping holidays and assignments, and an automated email notification workflow that sends shift schedules directly to staff with uniform guidance attached, requiring acknowledgement via a reply-all confirmation.
Role-based access was implemented using the Securitor ACO/ACL framework, ensuring staff, supervisors, and administrators each operate within appropriate permission boundaries. Every action taken within the system is logged against a full GDPR-compliant audit trail — meeting the event security management standards required when handling sensitive personnel data at scale.

Security Staff Scheduling Across Multiple Sites
Purpose-built for event security management, the scheduling engine manages shifts across multiple concurrent sites, tracking role type, shift category, assigned staff, hours worked, and real-time status — from Pending and Allocated through to Attended, Confirmed, and No-Show. Week-based views with built-in conflict detection prevent double-booking before it becomes a problem.
Staff Compliance & Certification Tracking
Full staff profiles including SIA licence details, right-to-work and visa status, emergency contacts, and structured training records spanning First Aid, ACT, CSE, BSL, UEFA, Pit Safety, Fire Marshall, and more. Expiry reports flag badges due within 1, 3, or 6 months.
Cloud-Based Staff Document Management
SIA badges, Highfield Qualifications certificates, employment references, and right-to-work proofs stored securely in AWS-backed cloud storage using FileMaker's container field architecture. The staff document management system is scaled to handle the volumes a growing security workforce generates, with documents accessible directly from within each staff profile.
Automated Email Notifications
Configurable HTML notification templates dispatch shift schedules directly to allocated staff with uniform examples attached. Staff must confirm receipt via reply-all acknowledgement, creating an auditable communication trail that reduces no-shows before every event.
Reporting & Audit Trail
Built-in reports cover schedule activity by date range, staff rosters, SIA expiry status, and visa compliance — all exportable to Excel or CSV. A complete audit log captures every account action for regulatory compliance and internal governance.
05 Results
The system replaced a fragmented spreadsheet workflow and now serves as the operational backbone for Security Scotland's scheduling and compliance — eliminating double-bookings, automating staff notifications, and giving management real-time visibility across all active sites.
